MAIN RESPONSIBILITIES
Summary – Administration – Information Coordination
· Manage, sign, issue, and store all documents, correspondence, and reports coming in/out.
· Manage the work schedule, meetings, and weekly/monthly/quarterly plans of the Director and the departments under direct supervision.
· Prepare documents, minutes, and summarize the content of meetings of the DAIT Board and meetings with the General Director or member units.
· Ensure 100% of records – documents are stored on time and meeting minutes are completed within 24 hours.
Plan Management & Progress Tracking
· Monitor and remind the progress of key items of the departments under direct supervision: Infrastructure, Development & Application, Data & AI.
· Compile daily/weekly/monthly reports to send to the Board Director and the General Director.
· Supervise the work checklist & internal response SLA.
· Ensure ≥95% of tasks are completed on time.
Support for Human Resources – Internal Administration
· Coordinate with GAD/HRBP in timekeeping, training, KPIs, and internal benefits.
· Manage personnel records, personnel lists, licenses, assets, and administrative forms of the DAIT Board.
· Assist in organizing events & internal communication activities.
· Ensure internal satisfaction level ≥ 9/10.
Finance – Payments – Cost Tracking
· Prepare, sign, and track payment records of the Board (IT services, software, materials, labor, outsourcing…).
· Monitor the operating budget and remind the progress of document processing.
· Conduct periodic reconciliations with the Finance – Accounting department.
· Ensure ≥98% of records are processed on time, with no administrative errors.
Internal Communication & Support for Operational Coordination
· Manage the internal communication channels of the Board (Teams, “Information to Know”, DAIT Portal Dashboard).
· Update documents, regulations, and forms on shared channels.
· Support the Board Director in monitoring directives, reminding tasks, and supervising implementation results.
· Internal request response SLA ≤24 hours.
Other Tasks
· Perform other tasks as assigned by the Board Director or the Group Leadership Board.
JOB REQUIREMENTS
Qualifications
· Bachelor's degree in: Business Administration, Office Administration, IT, or related fields.
· Good communication skills.
· Proficient in MS Office, Teams, SharePoint, PowerPoint; knowledge of Power BI or internal dashboards is preferred.
· Basic knowledge of IT or experience in IT project management is an advantage.
