MAIN RESPONSIBILITIES
1. Advise and assist the Head of the Department in building and monitoring the activities and work program of the Head:
· Create and monitor the daily work schedule of the Head.
· Arrange and remind the Head of appointments.
· Organize the schedule and content of business trips both domestically and internationally for the Head; prepare visa, passport, flight tickets, hotel accommodations, transportation, and other necessary items as required.
· Compile reports from various Divisions/Departments/Rooms as directed by the Head.
· Understand the workflow processes of departments/units at CT VERSE to quickly resolve arising tasks and comply with company regulations.
· Manage the list, phone numbers, and addresses of companies, agencies, or individuals that require regular contact to ensure timely and accurate information provision.
· Listen to and promptly and accurately handle phone calls from outside or from other departments calling for the Head.
2. Supervise the implementation of directives from the Head:
· Responsible for communicating the directives of the Head to other departments within the company, while also monitoring and urging the implementation of the Head's directives and collecting feedback from departments to report back to the Head.
· Compile, analyze, and monitor reports from various Divisions/Departments/Rooms.
3. Other tasks:
· Perform tasks as assigned by the Head.
· Execute special projects when requested.
· Conduct diplomatic relations with relevant authorities when assigned.
· Organize, prepare documents, and act as secretary for meetings of the Head or as assigned.
· Accompany the Head on business trips to provinces and countries as directed.
· Handle the signing and stamping of documents.
· Responsible for drafting official letters, correspondence, documents, and conveying information to departments as per the regulations and requirements of the Group. Carry out urgent tasks as requested by the Head in all circumstances.
· Timely detect and alert any issues of non-compliance with legal regulations and company operational regulations. Accurately assess and propose specific effective and appropriate solutions and measures.
JOB REQUIREMENTS
1. Age: From 23 years old.
2. Education: University graduate or higher. Major: Secretary, Office Administration, Document Management.
3. Experience: At least 1 year in a similar position.
4. Skills: Fluent in English, good communication and persuasion skills, clear, accurate, and effective presentation, organizational and planning skills.
5. Relevant knowledge: real estate, administration, secretarial work, human resources, law, PR.
6. Essential qualities: confidentiality, honesty, carefulness, meticulousness, thoughtfulness, sense of responsibility, calmness, maturity, discretion, agility.
