JOB DESCRIPTION:
Planning
a. Assigned real estate operations management:
- Set up a human resource structure for CT Planet to be ready to receive real estate for operation;
- Set up forms and procedures suitable for product characteristics to effectively control operational management: Forms and procedures related to administrative work, technical systems, general security control, contractor control during construction, construction regulations, decoration, product repair, etc.;
- Set up an operating budget for CT Planet, update and control implementation according to the operating budget;
- Set up a daily/weekly/monthly/yearly periodic maintenance plan for CT Planet technical systems;
- Select service units: Trees, insects, service security, cleaning services for projects managed by CT Planet;
- Receive and store all real estate completion records, product completion records to facilitate future management and operation. Pay special attention to the O&M Handbook, maintenance procedures, ... operating instructions related to the technical equipment system;
- Receive all contact information, emails, sales contracts, handover minutes ... of owners from related units to facilitate management and interaction during the management and operation process;
b. Manage the management unit that the real estate investor signs a contract to entrust management and operation:
- Coordinate with the residential area and building management unit: Develop a resident handbook, develop regulations, rules, processes, standards for management and operation of residential areas and buildings, develop standard forms and draft management reports including profit and loss reports, activity reports, establish cyclical tasks ...;
- Coordinate with the Project Management Board to hand over to the unit that signed the contract to receive the management entrustment of all the current status of technical equipment, utilities, public area assets, other assets, and items related to the entrustment contract to serve as a basis for receiving and operating;
- Coordinate with the Project Management Board to hand over to the management unit that received the entrustment of real estate management and operation a set of real estate completion documents and product completion documents to facilitate the operation work;
- Manage the management units entrusted to perform in accordance with the content of the real estate management and operation entrustment contract;
- Check the preparation and implementation of the annual operating budget plan of the management unit (MUD);
- Check and monitor the reports of the MUD;
- Conduct acceptance of operational services at the project;
- Check the payment records of the MUD;
c. Coordinate with other units in the Group on product handover according to related procedures
- Coordinate with the Project Management Board and related units to carry out internal acceptance procedures, check product quality before handover to customers. Make a list of products eligible for handover and make a handover plan for customers.
- Check the conditions of utilities, landscape, security, hygiene, insects, parking area before handing over the house to customers;
- Coordinate with the Project Management Board and related units to carry out procedures, complete product handover documents with customers according to the Group's product handover process;
- Receive customer opinions during the handover process and product use process to see the advantages and disadvantages of the product, thereby proposing improvements in design and product quality;
Management and exploitation:
- Ensure service quality and utilities for residents and communities at projects that CT Planet is managing;
- Receive and promptly and thoroughly handle errors arising during the exploitation and use of products according to the actual requirements of residents;
- Manage residential area and building management units to ensure that they provide the best management services at projects;
- Develop management plans and operating budgets for residential areas or buildings that have not been handed over to the management board;
Risk management
- Manage the purchase of compulsory fire and explosion insurance contracts and all property risks for the project;
- Assess risks and develop handling plans related to customer complaints; incidents related to service quality, labor safety, property safety, budget safety, legal safety and safety in insurance policies;
- Assess and report risks that may arise for the entire project and plan and take measures to prevent risks;
- Assessing operating budget risks: Analyzing current risks and identifying potential risks for the management budget as well as legal risks for operating low-rise and high-rise areas;
Monitoring and managing technical systems in projects along with related documents, drawings, and operating instructions
- Receiving handover and managing and storing technical documents related to the project from the Project Management Board;
- Controlling the operation process of all technical systems of the project to ensure that technical systems are performed 24/7 and all days of the week, including holidays, festivals, and Tet;
- Planning periodic inspections of the operating status of technical systems and making reports;
- Checking and supervising the project's technical operation services of the Management Unit to ensure that the project is operated properly and safely in accordance with legal regulations;
- Synthesize, store, warn and propose technical solutions related to construction/design defects during project operation;
- Propose renovation and upgrading of public items (HMCC), technical systems of the project to ensure safety, efficiency, minimize legal risks and reputation of the Investor.
Monitor and confirm completion of the contractor's warranty obligations:
- Monitor the contractor's warranty obligations to ensure that the project items are fully warranted by the contractor;
- When the contractor fails to perform the warranty obligations under the contract, the KT Department shall notify the contractor in writing of the related costs incurred (if any);
- Carry out acceptance of the completion of the warranty obligations of the contractor's real estate items under the contract;
- Confirm the completion of the contractor's warranty obligations, ensuring accurate calculation of the remaining warranty value to be paid to the contractor when the warranty expires according to the provisions of the contract.
Participate in the acceptance and handover of HMCC to the Management Unit
- Provide opinions on the suitability of the handover plan and the completeness of the HMCC handover documents of the Project Management Unit
- Participate in the contractor's HMCC operation training;
- Conduct the acceptance and putting into use of HMCC.
Coordinate work with the Management Unit in the technical management of real estate operations
- Support the implementation of necessary procedures to ensure real estate operations according to the requirements of the competent authorities;
- Coordinate the establishment of operation and maintenance plans in accordance with regulations as well as compliance with the recommendations of the manufacturer or consultant;
- Ensure that work related to maintenance and repair of technical systems of residential areas and buildings must be carried out correctly and safely at all times;
- Coordinate with the Management Unit to develop instructions for interior finishing construction for residents
Training:
- Prepare training for employees in each department in Planet Company: Technical Department, Accounting Department, Administration Department, Reception - Customer Care Department, etc.
- Develop training plans for direct operating departments (Reception, Security, Engineering)
Human resource management (weight 4%):
- Set up work goals, assign, assign work, guide, and supervise the performance of employees within the scope of management;
- Arrange the right people for the right job and optimize the efficiency of human resource use, propose transfers in accordance with capacity and quality;
- Participate in proposing policies and regimes for employees in the Company; Propose transfer/appointment/reward/discipline
- Implement and strengthen internal communication work: Encourage staff in the Board to actively interact on internal groups, promote the image and brand of the Company on personal pages and the Company's media pages.
Other tasks:
- Perform other tasks as assigned by the Board of Directors/authorized person

JOB REQUIREMENTS:
1. Age: 35 - 50 years old.
2. Qualification: University degree or higher.
3. Major: Business Administration, Finance, Economics, Law.
4. Experience: At least 05 years of experience working in the field of building management and operation, 03 years in the position of Director/Deputy Director of a Grade A building/office or higher.
5. Foreign language: Proficient in English (listening, speaking, reading, writing).
6. Information technology: Proficient in using computers, office software, specialized software, etc.
7. Skills:
